How FlashFillz handles your information
FlashFillz helps businesses fill cancelled appointments by texting their own waitlist. This policy explains what personal information we collect, why, and your rights. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Who we are

Whose information we handle
- Business clients — the businesses that subscribe to FlashFillz: contact name, business name, email, mobile number, and service details.
- Customers of those businesses — people on a business's waitlist: name, mobile number, and appointment/booking history relating to that business.
How we collect it, and consent
- Customers join a business's waitlist by expressly opting in — most commonly by texting a keyword (such as JOIN) from a card at the business, which is a clear act of consent to receive SMS about last-minute openings.
- Where a business provides an existing customer list, those customers are asked for permission first and are not sent marketing messages until they confirm.
- You can opt out at any time by replying STOP to any message. Opt-outs are honoured immediately.
How we use it
- To notify waitlist customers, on the relevant business's behalf, when a matching appointment opens, and to record the outcome of those notifications.
- To provide businesses with reporting on appointments recovered and revenue.
- To operate, secure, support and improve the service.
We send messages only about the specific business a customer opted in to. We do not use one business's waitlist to market other businesses.
Payments
Business subscription payments are processed by Stripe. FlashFillz does not collect or store payment card numbers. Any deposit a customer pays goes directly to the business through the business's own payment provider — FlashFillz never holds those funds.
Disclosure and storage
- We use reputable service providers to run FlashFillz, including cloud hosting, database and SMS delivery providers. Some may store or process data outside Australia; we take reasonable steps to ensure appropriate protections.
- We do not sell personal information.
- If FlashFillz's business or assets are sold, customer records may transfer to the acquirer bound to use them for the same purpose and to honour this policy.
- We take reasonable technical and organisational steps to protect information, including access controls, encryption in transit and at rest, and audit logging.
Your rights
You may request access to, or correction of, the personal information we hold about you, and you may opt out of messages at any time (reply STOP). To make a request or raise a concern, contact us at the email above. If you are not satisfied, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
Changes
We may update this policy from time to time; the current version is always published here.
